Solwood Desk Privacy Policy

1. Scope and Purpose

This Privacy Policy describes how Apice Tech Pvt. Ltd. ("Apice Tech", "we", "us", "our") collects, uses, stores, and shares information when you use the Solwood Desk mobile application and related services. Solwood Desk is a white-labeled application powered by KaizIQ software and operated by Apice Tech Pvt. Ltd.

This policy is published to support transparency for users on Android and iOS and to help satisfy app marketplace disclosure requirements, including Google Play and Apple App Store policies.


2. Information We Collect

Depending on your app usage and enabled modules, we may collect:

  • Account details such as your name, email address, phone number, organization details, and login credentials.
  • Business and workflow data you submit, including tickets, assets, documents, comments, timesheets, attendance details, and task updates.
  • Device and technical data such as device model, operating system, app version, IP address, crash logs, and diagnostic data.
  • Approximate or precise location data where location-based workflow features are enabled in the app.
  • Media and files (for example photos, videos, and documents) when you choose to upload or capture information through the app.

We collect data directly from you, automatically from your device when the app is used, and from approved system integrations connected to the app.


3. App Permissions and Device Access

Depending on enabled features, Solwood Desk may request one or more of the following permissions on Android and iOS:

  • Camera access to capture photos or scan content for tickets, assets, or service records.
  • Photos, media, and file access to upload or attach documents, images, and other business files.
  • Microphone access when voice notes, audio capture, or media recording is used.
  • Location access (foreground and, where applicable, background) for attendance, field tracking, or geolocation-based workflows.
  • Notification permission to send service alerts, assignment updates, reminders, and account notices.
  • Contacts access when contact import, assignment, or collaboration features require selecting people from your device address book.

Permissions are requested contextually when required by a feature. You can control permissions at any time through your device settings, though some app features may not work without the required access.


4. How We Use Information

We use collected information to:

  • Provide, operate, and maintain the Solwood Desk application and associated backend services.
  • Authenticate users, manage access, and secure accounts.
  • Enable collaboration, communication, and workflow automation in the app.
  • Process service requests and provide customer support.
  • Monitor performance, troubleshoot issues, and improve app reliability, usability, and security.
  • Comply with legal obligations and enforce applicable terms.

5. How We Share Information

We do not sell personal information. We may share information with:

  • Authorized account owners and administrators assigned to manage Solwood Desk.
  • Trusted service providers (for example hosting, infrastructure, analytics, and support services) who process data under contractual controls.
  • Integration partners explicitly enabled by your account configuration.
  • Legal authorities when required by law, court order, or to protect rights, safety, and platform integrity.

6. Data Retention

We retain personal and business data for as long as needed to provide services, satisfy contractual commitments with users and customers, and comply with legal obligations.

Retention periods may vary by module and customer configuration. When data is no longer required, we delete, anonymize, or securely archive it according to operational and legal requirements.


7. Data Security

We use reasonable technical and organizational safeguards, such as access controls, encryption in transit, logging, monitoring, and secure cloud infrastructure practices.

No method of transmission or storage is fully secure, but we continuously improve our controls to protect your information.


8. Your Rights and Choices

Subject to applicable law, you may request to:

  • Access, correct, or update your information.
  • Request deletion of your personal information.
  • Object to or restrict certain processing activities.
  • Withdraw consent where processing is consent-based.

We may need to verify your identity before processing privacy requests.


9. Children

Solwood Desk is designed for business and enterprise use and is not intended for children under 13 years of age. We do not knowingly collect personal information from children under 13.


10. Changes to this Privacy Policy

We may update this Privacy Policy from time to time to reflect product updates, legal requirements, or operational changes. The updated version will be posted on this page with a revised "Last updated" date.
